Introduction #
The Debt payment feature in Vitepos allows approved customers to purchase products without making the full payment immediately.
The customer can purchase items on credit and pay the outstanding amount later.
This feature is useful for businesses that allow trusted customers to purchase products on credit or pay their invoices at a later time.
Enable the Debt Payment Feature #
To use the Debt / On Account feature, you first need to enable it from the Vitepos settings.
Navigate to:
Vitepos Admin Panel → Settings → Payment Settings
In the Payment Settings section, you will find the Enable Debt / On Account toggle.
Simply enable this option.
Configure Debt / On Account Settings #
After enabling the Debt / On Account feature, a new Debt / On Account Settings tab will become available.
Navigate to:
Vitepos Admin Panel → Settings → Debt / On Account Settings
Here, you will find the following settings: #
Credit Limit
The Credit Limit determines the default amount of credit a customer can use when purchasing products through Debt / On Account.
For example, if the credit limit is set to $100, an approved customer will be able to purchase products on credit up to the available credit limit.
Allow Single Item Purchase Without Credit Limit
You will also find an additional toggle option in these settings.
When this option is enabled, a customer can purchase a single item even if the purchase amount exceeds their available credit limit.
After configuring the settings according to your business requirements, save the changes.
Create a Debt Payment Sale #
After configuring the settings, navigate to the Vitepos POS Panel.
Select the products you want to sell and add them to the cart.
Next, add a customer who has Debt / On Account enabled.
Select Debt Payment Method as the Payment Method #
Continue to the Checkout page.
On the checkout screen, you will now see Debt / On Account as an available payment method.
If the customer’s purchase amount is within their available credit limit, you can complete the entire payment using the Debt / On Account payment method.
You can also use Split Payment if the customer wants to pay part of the amount immediately and keep the remaining amount as debt.
For this example, we will: #
* Pay $30 using Debt / On Account
* Pay the remaining amount using Cash
This allows the customer to partially pay for the order while keeping the remaining amount as an outstanding debt.
After selecting the required payment methods, complete the order.
View Debt Details on the Receipt #
Once the order is completed, the receipt will be generated.
The receipt will display the relevant payment information, including the customer’s Debt / On Account amount.
This makes it easy for both the business and the customer to understand how much of the order was paid immediately and how much was added to the customer’s outstanding balance.
Check the Customer’s Outstanding Balance #
After completing the order, you can check the customer’s outstanding balance from the Customer module.
Navigate to:
Vitepos → Customer
In our example, the customer David has an outstanding balance of -$30, because $30 of the order was added as debt.
The customer’s outstanding balance will be updated automatically whenever a new debt transaction is created or an existing debt is repaid.
Repay the Customer’s Debt #
Customers can repay their outstanding debt in two different ways.
Option 1: Account-Based Payment
With the Account payment option, you can make a payment toward the customer’s overall outstanding balance.
You can pay the entire outstanding amount or make a partial payment.
Option 2: Invoice-Based Payment #
You can also make a payment against a specific invoice/order.
This allows you to select a particular order and record a payment specifically for that transaction.
These options give businesses flexibility when managing customer debt and repayments.
View Debt and Credit Information #
You can also review all customer debt and credit information from the Credit module.
Navigate to:
Vitepos → Credit
Here, you can view your customers’ debt and credit-related information in one place.
The Credit module also provides access to relevant records, including:
* Customer debt amount
* Customer credit amount
* Ledger information
* FIFO logs
These records help you track customer credit activity and understand the history of debt and repayment transactions.
